OFFICE ADMINISTRATOR

POSITION PURPOSE

The Office Administrator is an integral part of the First Unitarian Church staff team.  This position is often a visitor’s first contact with First Unitarian Church.  Under close to moderate supervision, the Office Administrator provides general clerical and administrative support to the Minister, staff, and congregation.

ESSENTIAL FUNCTIONS

External Communications

- Edit, publish, and distribute electronic and print newsletters.
- Update and maintain church physical and electronic bulletin boards.
- Provide professional interface with public seeking information in person, by phone or via email about First Unitarian Church of Cincinnati.
- Monitor selected external media for coverage of First Unitarian Church of Cincinnati and Unitarian Universalism.
- Develop, post and/or share social media content regarding First Unitarian Church of Cincinnati and Unitarian Universalism on Facebook, Instagram, Twitter, and other social media platforms.
- Update website with information provided by minister, staff and/or committees.Internal Communications Coordinate bulk mailings.
- Coordinate production of church communications, working collaboratively with program staff and volunteers.

Office Administration

- Maintain Breeze church management software program by adding new member contacts, updating member and visitor contact information, scheduling building resources, printing and posting building use and event calendars are required.
- Sort and distribute mail; answer phones and respond to church email on a timely basis.
- Assist Director of Operations with ordering of supplies and scheduling equipment and maintenance services.

Program Support

- Participate in regular staff meetings and other staff functions.
- Coordinate volunteers as needed for church activities and events.
- Provide program support as needed or requested for worship, music, and lifespan faith development.
- Support Director of Operations with facilities rentals as needed or requested.

Other Responsibilities:

The Office Administrator is expected to meet standards of confidentiality and comply with organizational policies and procedures.    

QUALIFICATIONS

- Knowledge of Microsoft Office suite (particularly strong knowledge of Word, Excel and PowerPoint), Google platforms, database management software, desktop publishing, social media (Facebook, Twitter, Instagram and Hootsuite or other posting programs), Zoom, MailChimp (or similar email newsletter services), graphics, website maintenance and/or the willingness and ability to learn new technologies. Experience with Breeze Church Management Software is a plus.  
- Strong customer service skills and the patience to work with and, if necessary, train people at various levels of comfort with technology.
- Demonstrated ability to work collegially with others.
- Ability to multitask, prioritize and work efficiently to meet deadlines.
- Understanding of anti-oppression, anti-racism and multiculturalism required; experience with diversity and inclusion work is a plus.


EXPERIENCE:  Two years minimum administrative experience. Church administration experience a plus.

EDUCATION:  High school degree required; at least two-year college degree desired

COMPENSATION AND WORKING LOCATION:  Up to $17 per hour, 20 hours per week with no benefits.   Position is expected to work on-site at our church office.  While our building is closed due to the COVID-19 pandemic, Office Administrator may work remotely.

CUSTODIAN

The Custodian performs routine cleaning, maintenance, hospitality, and security services in order to provide a clean, comfortable, and safe environment for the programs of First Unitarian Church of Cincinnati as well as for other organizations who use the space.

ESSENTIAL FUNCTIONS

Janitorial Services

• Performs a variety of janitorial duties to clean assigned FC property, including disinfecting, sweeping, glass cleaning, vacuuming, carpet cleaning, dusting, cleaning bathrooms, washing floors, stairs, hallways, kitchen, meeting rooms and classrooms.
• Polishes fixtures, washes dishes, empties trash and recycling receptacles, and operates cleaning equipment.

Maintenance

• Performs routine maintenance and small repair issues such as changing light bulbs, performing routine plumbing clean outs, moving furniture, making minor repairs to wobbly chairs etc.
• Refers larger maintenance and repair issues to Director of Operations who will consult Building & Grounds Committee, as appropriate.
• Performs groundskeeping services including checking playground area and parking lot for debris or broken items. Pick up broken limbs after storm; shovel and salt sidewalk after snow, as needed.
• Maintain outer premises by watering plants and mowing lawn.
• Keep entrances and sidewalks clear of debris and safe.

Event Management Support (Hospitality and Security)

• Sets up and breaks down rooms for meetings and events including arranging chairs and tables and other furniture, making coffee, setting up or removing A/V and other meeting equipment.
• Performs routine safety and security procedures involved in opening and closing building, checking alarm system, checking premise to guard against theft, fire, illegal entry. Provides access for visitors/guests outside of office hours.

Resource Management

• Follows directions and establishes routines in the proper use of materials and supplies.
• Monitors heat, lighting, and air conditioning to optimize utilization.
• Assist Director of Operations with ordering of supplies and scheduling equipment and maintenance services.
• Keep inventory of supplies and informs Director of Operations of ordering needs.

Other Responsibilities:

• Complete biweekly timesheets.
• Follow cleaning checklist to be approved by Director of Operations.


QUALIFICATIONS

Qualifications may be met as a result of lived experience, volunteer work, professional experience, and/or formal or informal training.

• Be conscientious; attention to detail and ability to see the big picture
• Able to work independently with minimal supervision
• Ability to push 100 pounds along the ground, and ability to lift and carry
• Ability to manage operation of professional cleaning equipment
• Must pass a background check
• Interact professionally and respectfully with other staff members, church community, volunteers, visitors, renters and guests
• Ability to work within a team, participate in staff meetings, and establish and maintain positive relationships
• Ability to multitask and complete work assignments in a timely manner
• Exercise excellent sense of responsibility and judgment

EDUCATION: High school diploma, GED or equivalent preferred

COMPENSATION AND WORKING LOCATION:   Up to $17 per hour, based on experience; 20-22 hours per week with no benefits. Position is expected to work on-site at our church building. Hours are Sundays, 8am-2pm +/-; Tuesday thru Fridays, 6-10pm.
