OFFICE ADMINISTRATOR

FLSA Status: Non-Exempt
Hours/Schedule: PT / 20 hours per week

POSITION PURPOSE

The Office Administrator is an integral part of the First Unitarian Church staff team.  This position is often a visitor’s first contact with First Unitarian Church.  Under close to moderate supervision, the Office Administrator provides general clerical and administrative support to the Minister, staff, and congregation.

ESSENTIAL FUNCTIONS

External Communications
• Edit, publish, and distribute electronic and print newsletters.
• Update and maintain church physical and electronic bulletin boards.
• Provide professional interface with public seeking information in person, by phone or via email about First Unitarian Church of Cincinnati.
• Monitor selected external media for coverage of First Unitarian Church of Cincinnati and Unitarian Universalism.
• Develop, post and/or share social media content regarding First Unitarian Church of Cincinnati and Unitarian Universalism on Facebook, Instagram, Twitter, and other social media platforms.
• Update website with information provided by minister, staff and/or committees.

Internal Communications
• Coordinate bulk mailings.
• Coordinates production of church communications, working collaboratively with program staff and volunteers.

Office Administration
• Maintain Breeze church management software program by adding new member contacts, updating member and visitor contact information, scheduling building resources, printing and posting building use and event calendars are required.
• Sort and distribute mail; answer phones and respond to church email on a timely basis.
• Assist Director of Operations with ordering of supplies and scheduling equipment and maintenance services.

Program Support
• Participate in regular staff meetings and other staff functions.
• Coordinate volunteers as needed for church activities and events.
• Provide program support as needed or requested for worship, music, and lifespan faith development.
• Support Director of Operations with facilities rentals as needed or requested.

Other Responsibilities:
The Office Administrator is expected to meet standards of confidentiality and comply with organizational policies and procedures.

QUALIFICATIONS
• Knowledge of Microsoft Office suite (particularly strong knowledge of Word, Excel and PowerPoint), Google platforms, database management software, desktop publishing, social media (Facebook, Twitter, Instagram and Hootsuite or other posting programs), Zoom, MailChimp (or similar email newsletter services), graphics, website maintenance and/or the willingness and ability to learn new technologies. Experience with Breeze Church Management Software is a plus.
• Strong customer service skills and the patience to work with and, if necessary, train people at various levels of comfort with technology.
• Demonstrated ability to work collegially with others.
• Ability to multitask, prioritize and work efficiently to meet deadlines.
• Understanding of anti-oppression, anti-racism and multiculturalism required; experience with diversity and inclusion work is a plus.

EXPERIENCE
• Two years minimum administrative experience.
• Church administration experience a plus. EDUCATION High school degree required; at least two-year college degree desired COMPENSATION AND WORKING LOCATION Up to $17 per hour, 20 hours per week with no benefits. Position is expected to work on-site at our church office.
